Executive Assistant to the Chief Executive Officer (CEO)

Job Description:

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and strategic support to the CEO. The role requires discretion, exceptional communication skills, and the ability to manage multiple priorities while supporting the CEO in achieving organizational goals. The Executive Assistant will act as a key liaison between the CEO, staff, partners, and stakeholders, ensuring seamless communication and efficient execution of executive initiatives.

Key Responsibilities:

  • - Provide high-level administrative and strategic support to the CEO, anticipating needs and prioritising tasks effectively.
  • - Manage the CEO’s calendar, appointments, schedules, and daily priorities to ensure efficient time management.
  • - Handle internal and external communication on behalf of the CEO, maintaining confidentiality and professionalism at all times.
  • - Prepare reports, correspondence, meeting briefs, presentations, and other materials required for executive decision-making.
  • - Coordinate and track progress on executive projects, ensuring departments meet deadlines and provide necessary updates.
  • - Maintain organised filing systems, confidential records, and sensitive documents.
  • - Serve as a liaison between the CEO’s office, employees, business partners, and stakeholders, fostering strong professional relationships.
  • - Arrange, coordinate, and manage meetings involving the CEO, including preparing agendas, taking notes, and following up on action items.
  • - Organise and manage the CEO’s travel arrangements, including flights, accommodation, itineraries, and related logistics.
  • - Keep the CEO informed on emerging issues, organizational priorities, and matters requiring immediate attention.
  • - Assist in drafting executive communications, speeches, and briefing notes for internal and external engagements.
  • - Demonstrate professionalism, discretion, strong interpersonal skills, and exceptional organisational capabilities.
  • - Support the CEO in strategic initiatives, research, and special projects as required.

Requirements:

  • - Bachelor’s degree (BSc) in Business Administration, Management, or a related field.
  • - Proven experience as an Executive Assistant or similar role supporting senior executives.
  • - Excellent organisational, time management, and multitasking abilities.
  • - Strong written and verbal communication skills.
  • High level of discretion, confidentiality, and professionalism.
  • - Proficiency in office software (Microsoft Office Suite, Google Workspace) and scheduling tools.
  • - Ability to work independently, anticipate needs, and exercise sound judgment in decision-making.
